In the COVID-19 era, the time stylists get to spend with their guests at their salon is especially precious. With extra time slotted in for sanitation and no double booking, the appointment has to focus on the cut, color and styling services—or on correcting at-home quarantine mishaps. To make sure no time is wasted during the appointment, the more you can prepare your guest before they walk through the door, the better.
To help Salons get COVID-Ready, Vagaro has updated its Forms feature, making it easier than ever for stylists to digitally send legal waivers, intake forms and surveys to customers prior to their appointment or after they have left the salon. And because Forms is integrated into Vagaro, all guest responses will be saved into their customer profile. It’s also easy to run reports on collected responses.
“During COVID-19, we created a health questionnaire that guests can fill out before they arrive,” says Autumn Queen, co-owner of Identity Atelier, a commission salon in Dublin, Ohio. “The questionnaire asks if they have any symptoms or if they have been around anyone sick or quarantined. It also checks if guests have traveled in the last 14 days. And there’s even a section to record their temperature. When a client arrives for their appointment all we have to do is review the answers and double check their temperature.”
The feature allows users to build a custom form from scratch or adapt a design from the template library. Available templates include intake forms for guests to fill out prior to their appointment, customer surveys to gather insights on the guest experience, or liability waivers that can be signed and attached to customer profiles.
All employees at Identity Atelier have been trained to create Forms. In addition to the COVID-19 waiver, the salon uses the feature to create intake forms for new guests to fill out before their first appointment. “Guests have commented on how much they like being able to fill out the intake form in advance and how easy it is,” Queen says. “It saves us a lot of time in the consultation because we can review their answers and be better prepared with ideas before they arrive.”
Identity Atelier also created a model release form to use on training days. It’s sent digitally to each model along with a photo release form that collects the models’ consent to use any pictures taken in the salon’s social media posts.
Forms is just as effective for suite owners as well. Kristi Wood uses Forms at her studio, Beautiful You by KW, similarly to Identity Atelier—to collect new guest information and to distribute COVID-19 liability waivers.
Prior to Forms, Wood was using paper waivers. She loves the fact Forms is fully digital and integrated into Vagaro, so it is not only easy to send forms to guests, but also easy to keep them organized.
“With Forms I don’t have to worry about the cost of creating and printing waivers and forms. Digital forms don’t take up room being stored somewhere,” she says. “Vagaro also reminds me to have my guests fill out forms if they haven’t done so yet.”
